The Art Patch ("I", "me", "my") is committed to protecting your personal data and handling it responsibly. This policy explains what I collect, why, and your rights. It is written in line with UK GDPR, the Data Protection Act 2018, and the Data (Use and Access) Act 2025.
Who I am
The Art Patch is run by Nicola Underwood-Booth, based in the London Borough of Bexley. I am the data controller for the information you provide, and I am registered with the Information Commissioner's Office (ICO) under The Art Patch. You can contact me at hello@theartpatch.co.uk.

Depending on which sessions you book, I may collect:

I only collect what I need to run sessions safely. I do not use your information for marketing without your consent.
Legal basis
I process your data to fulfill our booking agreement (contract), to meet legal obligations, and, where relevant, on the basis of your consent (for example, photography or marketing). Allergy and medical information is handled with additional care as it is a special category of data, on the basis of protecting health and safety.
Who I share it with
I use trusted third-party services to run the business:

These providers process data on my behalf under their own data protection obligations. I do not sell your data or share it with anyone else, except where legally required or to protect a child's safety (see my Safeguarding Policy).
How long I keep it
I keep booking and safeguarding-related information only as long as necessary for the purposes above and to meet legal and insurance requirements, then delete it securely.
Your rights
You have the right to access the personal data I hold about you, to correct it, to ask me to delete it, to object to or restrict how I use it, and to withdraw consent at any time. To exercise any of these, contact me at hello@theartpatch.co.uk
Complaints
If you're unhappy with how I've handled your personal data, please contact me first at hello@theartpatch.co.uk. I will acknowledge your complaint within 30 days and respond as quickly as I can. If you remain dissatisfied, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

1. Bookings
All bookings are made through this website. A place is only confirmed once payment has been received. Sessions have limited spaces and are allocated on a first come, first served basis.
2. Payment
Full payment is required at the time of booking, unless otherwise stated for private events. Prices are as displayed at the time of booking and include all materials unless stated otherwise.
3. Cancellations & Refunds, Paint & Sip
Paint & Sip tickets are £29 per person and include all materials, an apron, and a welcome drink.
More than 7 days before your session: full refund, minus a £1.30 administration fee to cover non refundable card and booking charges.
Within 7 days: no refund, but you may transfer your ticket to another session if you notify me before your original date.
Within 48 hours: no refunds or transfers, as your place and materials will already be prepared.
4. Cancellations & Transfers, Parent & Child Art Mornings
Parent & Child Art Mornings are booked and paid for per session at £9 per child and £8 per sibling.
More than 48 hours before the session: you may transfer your booking to another available session, subject to availability. Please let me know as early as possible so your original place can be offered to someone else.
Within 48 hours of the session: unfortunately no refunds or transfers can be offered, as your place will be reserved and prepared for your child.
5. Cancellations by The Art Patch
If I need to cancel a session for any reason, including insufficient bookings, illness, or venue issues, you will be offered a full refund or a transfer to an alternative date.
6. Parent & Child Art Mornings, Supervision
Parent & Child Art Mornings are for children aged 3 to 5. A parent or carer must remain with their child at all times throughout the session. Children remain the responsibility of their accompanying adult.
7. Paint & Sip, Age & Alcohol
Paint & Sip sessions are for adults aged 18 and over. A welcome drink, either prosecco or a soft drink alternative, is included. Please drink responsibly.
8. Health, Allergies & Materials
Please inform me of any allergies or medical needs when booking. Materials used are age appropriate and generally suitable, but if you have specific concerns, for example about paint ingredients, please contact me before your session.
9. Clothing & Personal Items
Aprons are provided, but paint can mark clothing. I can't accept liability for damage to clothing or personal belongings. Please wear something you don't mind getting messy.
10. Photography
I may occasionally wish to take photos during sessions for promotional use. I will always ask for your consent first, and you're free to decline. Please see my Safeguarding and Privacy policies for more detail.
11. Behaviour
I want every session to be enjoyable for everyone. I reserve the right to ask anyone behaving disruptively or unsafely to leave without a refund.
12. Privacy & Safeguarding
Your personal data is handled in line with my Privacy Policy. Child safety is taken seriously and covered in my Safeguarding Policy. Both are available on this website.
13. Changes to These Terms
These terms may be updated from time to time. The version on this website at the time of your booking applies.
14. Private Events
Private events include children's parties, hen parties, corporate sessions, and other bespoke bookings.
Private events are priced with a base fee plus a per person rate, quoted individually depending on group size, location, session length, and any extras. A non refundable deposit of 50% is required to secure your date, with the balance due no later than 7 days before the event. Your date is only held once the deposit has been received.
The number of participants, the artwork or activity, timings, venue, and any extras will be agreed in writing at the time of booking. Please tell me about any allergies or accessibility needs at this stage so I can plan properly.
Final participant numbers must be confirmed at least 7 days before the event, as materials are prepared for that number. Additional participants after this point will be accommodated where possible and charged at the agreed per person rate. If numbers decrease, the fee remains based on the confirmed number.
Rescheduling is subject to availability. Cancellations more than 7 days before the event forfeit the deposit but nothing further is due. Cancellations within 7 days remain payable in full, as the date and materials will already have been committed.
Where I source a venue or provide refreshments on your behalf, these are charged in addition to the quoted fee. Travel within 10 miles is included, beyond which a mileage charge applies.
If I have to cancel or reschedule a private event for reasons outside my control, including illness or circumstances affecting the venue, you will be offered an alternative date or a full refund including the deposit.
15. Arrival & Lateness
For Paint & Sip, the session is guided from the start and latecomers can be disruptive to others. If you arrive more than 15 minutes after the start time, I may not be able to admit you, and no refund will be given.
For private events, sessions run to the agreed finish time. Late arrival will not extend the session.
16. Eligibility & Age
Parent & Child Art Mornings are for children aged 3 to 5, who must be accompanied throughout by a parent or carer who remains responsible for them.
Paint & Sip sessions are for adults aged 18 and over. As alcohol is available, I may ask for proof of age, and I reserve the right to refuse entry or service to anyone unable to provide it. No refund will be given in these circumstances. Soft drinks are always available as an alternative, and there is no obligation to drink alcohol.
Private events may have different age requirements depending on the type of event, which will be agreed at the time of booking. Where a private event includes children, a responsible adult must be present throughout.

Safeguarding
The Art Patch is committed to the safety and wellbeing of all children and adults attending sessions. This policy ensures that every participant is treated with the utmost care and respect. I follow the guidelines set by the London Borough of Bexley and the Department for Education to ensure a secure and nurturing environment for all.

Parental responsibility and supervision
Parent & Child Art Mornings are for children aged 3-5 and are parent-and-child sessions. A parent or carer must remain present and responsible for their child at all times. I do not take sole charge of any child, and children are never left unsupervised in my care.
My credentials
I hold a current Basic DBS check. Before Parent & Child Art Mornings begin, I will also have completed the NSPCC's introductory child protection/safeguarding training and hold a current paediatric first aid qualification. I keep my knowledge up to date and treat all children and families with respect, creating sessions that are inclusive, kind, and welcoming.
Recognising and responding to concerns
If I have a concern that a child is at risk of harm, or if a concern is raised with me, I will take it seriously and act promptly. Where appropriate, I will share concerns with the London Borough of Bexley's Children's Services. Safeguarding concerns will always take priority over confidentiality.

Photography and images
Photographs are only ever taken with the consent of the parent or carer. I will always ask before photographing children, images are used only for the purposes agreed, and consent can be withdrawn at any time. Images are stored securely and never shared with third parties without permission.
A safe environment
I check the session space and materials before each session to ensure they are safe and age-appropriate. All art materials used with children are non-toxic and suitable for their age group. I hold public liability insurance for all sessions.
